1. What is the WriteHive Annual Conference?
The WriteHive Annual Conference is a 3-day event for writers and creatives who want to connect with other creatives and learn more about writing-related topics and the publishing industry. The WriteHive Annual Conference is hosted on a private server just for attendees.
2. Is the WriteHive Annual Conference really free?
Yep! The WriteHive Annual Conference is truly free for all participants. This includes the special workshops and presentations. If you like what you see, we encourage you to show your support by donating to WriteHive. Donations help us with the costs of planning and hosting our events, which keeps them free. You may donate to WriteHive here.
3. How do I access the Conference?
The WriteHive Annual Conference is hosted on a private Discord server for attendees (and speakers) only. If you are part of the WriteHive Discord server, this is NOT the same server.
To get to the private Discord server for the WriteHive Annual Conference, you will have to first register for a ticket. The ticket gives us your contact information so that we may email you detailed instructions on how and where to find the private Discord server for the Conference.
Watch your email! Instructions to log onto the WriteHive Annual Conference server will be sent a few days before the conference.
4. What kind of paid sponsorships and collaborations do you offer?
The WriteHive Annual Conference has a variety of sponsorship and exhibitor packages just like a typical conference. We offer a virtual booth, which is much like an exhibitor booth at a con, but virtual. You’re given your own channel in the exhibitor hall.
We also offer author readings in our Exhibitor Hall, which are 1 hour time slots to do readings from their work, AMAs, and/or giveaways.

5. What other events and programs does WriteHive do?
WriteHive hosts many other events and programs for the writing and creative community. Some programs include the Mentorship Program, our WriteHive Virtual Retreat, called WriteHive Lite, as well as a Silent Auction, Indie Ink Awards, and our Sponsored Writer Awards. You can find information on all of those programs on our WriteHive website, which is dedicated to all the cool things we do.
Pre-Conference & Exhibit Information
1. If I don’t get my registration email, who do I contact?

2. I registered, but forgot to sign up for a workshop, can I still attend the workshop?
You may re-register and see if the workshop of your choosing is still available. Many workshops have limited seating for participation due to the intensive nature of the topic. If the workshop is no longer available, you may add yourself to the waitlist for that workshop. If you are on the waitlist, you may still watch the workshop, but you will not be able to participate in the activities.
3. I am an author doing an Author Reading. What am I allowed to read during my time slot?
During your Author Reading, you have 60 minutes that is your time on the Author Reading channel. During this time you may read an excerpt of your work, host an AMA, run a giveaway, or just talk to those in your channel. The choice is yours! Our only restriction is that all work *must be PG-13* as we do have under 18 individuals attending the conference. Please no R-rated readings.
4. I reserved an Author Reading, but now I must cancel or reschedule my time. Is that possible?
You may cancel before June 6, 2023 for a full refund. Any cancellations after that time are not refundable.
If you need to reschedule, please let us know before June 6, 2023 or we may not be able to reschedule your session in time for the Conference. You may reschedule to any time that is still currently available. Ability to reschedule is not guaranteed.
5. How do I sign up for Discord?
Yes, the event is held on Discord. You may register for the event prior to having a Discord account, but if you would like to attend the conference, you must sign up for Discord before the day of the event. You can find more information about creating a discord account here.

During the Conference
1. Someone is acting inappropriately and making me feel uncomfortable. What should I do?
We take the safety of our attendees seriously, so please tag and alert the moderator team by typing @Moderator into the Discord chat with any issues. You can also find Moderators categorized on the right-hand side of Discord – click on their name and type your message directly to them. Additionally, you can reach out to admin@writehive.org or fill out an anonymous report here.
2. How do I find a particular event during the Conference?
All the events will take place on our private WriteHive Annual Conference Discord. Everything on the server is organized into categories. There are categories for Guests of Honor, Panels, Presentations, Workshops, and Critique Circles. Each category will have their event channels listed in the order they are happening. Look for the name of the event within its category. If you have trouble finding the right channel, watch the Event Announcement channel for live updates about when events are about to start!
3. Can I be notified when a panel or presentation starts?
Yes! Each panel, presentation, workshop, etc, will be listed as an event on the Conference Server. Those will be located at the top left of the server. Simply select “interested” for the ones you want to be reminded about. **Make sure you have desktop notifications turned ON.** A notice will show once the event starts. If you click on the green button labeled ‘Event Details,’ you should see a hyperlink that will take you to the correct channel.
If you are using Google Chrome, the browser will also notify you. A post will also be made in the Event Announcement channel at the Information area of the Discord! We’ll add links you can click that will take you to the correct channel. This will be reflected in the scheduled Events at the very top of the server, too.

4. What if there are two events I want to attend, but they are at the same time?
This is sure to be a common problem over the weekend! The best way to experience everything is to develop time travel abilities. For those who won’t manage that in time for the conference, Panels and Presentations will have videos that you can watch later in our archives.
5. When will the participants be accepting questions?
Panelists will mostly be available to answer questions in the text chat during the scheduled time for the event. Please pay attention if Moderators ask that questions be held until a certain point. Otherwise, feel free to ask away!
6. I missed an event, but I have a question. Can I still ask it?
You are welcome to ask questions and make comments in the event channel if it’s still open or in the #help-and-questions channel. However, we cannot guarantee a panelist will answer after the scheduled time.
7. I missed the event. Will you be posting the videos online?
Yes! All of the Panels and Presentations will be recorded and available later on our YouTube channel. Please note: live critique groups, sponsor events, workshops, and the Open Mic Night will not be recorded.
8. Will all events have audio channels?
Not all. In fact, most events will only utilize text channels on the Discord. This is because most panels and presentations have been pre-recorded. Pre-recorded events will start at their scheduled time and include a link to the video so that you may view the content. The hosts and presenters will be available during the event to answer questions you may have on the event topic. However, there are critique groups and some workshops that will use audio. Please check the event description for notices on audio.
9. Do I have to sign up to do an Author Reading?
Yes, pre-registration for an Author Reading spot is required. There is a fee for these spots, and they are first-come first-serve. The form can be found here. The deadline for registering for an Author Reading is June 1, 2023.
